Supplier Information management Spotlighted by the Sourcing Innovation blog

Managing many connections with suppliersLavante was recently spotlighted by Michael Lamoureux on the Sourcing Innovation  blog.

The Sourcing Innovation Blog is a the leading supply and spend management blog focused on education and technology. It is a wholly owned service of ToP KaTS Consulting, a consultancy that focuses on the Supply Chain, Optimization, Analytics, and Technology needs of modern business.

Lavante Connect is one of the more powerful, and more streamlined, supplier information self-management solutions on the market. In the Lavante Connect solution, the supplier is walked-through the 3 to 5-step process of completing their profile and is updated with respect to their progress, and percentage of work remaining, after each step. In the Lavante system, the supplier goes through the following easy to follow process: 

  1. Company Profile
  2. Legal Identification
  3. Certifications
  4. Payment Information (may be optional)
  5. Specific Information (may be optional)

Profile information walks the supplier through the definition of headquarters information, address information (notices, payment, warehouse, etc.), references, ownership, diversity, business structure, and contacts.

Legal ID walks the supplier through entry of business numbers, tax numbers, and other government identification in the countries that the supplier operates in. It also makes sure that the supplier uploads the appropriate documentation required by the customer, such as W9s in the US.

Certifications walks the supplier through the insurance and certification requirements of the customer and makes sure that the supplier specifies all of the relevant information and uploads the appropriate documents.

Payment walks the supplier through the specification of the payment types they accept (pCard, check, EFT, wire, etc.) and the specifications for each payment type.

Specific Information, of which there can be more than one tab, walks the supplier through the specific information requests unique to the client, such as required product and service information, sustainability information, etc. and the documentation that needs to be supplied.

The ease of use comes not only in the easy to follow registration, and profile completion process, but the fact that the system:

  • validates everything that can be validated,
  • eliminates duplication of data entry whenever possible, and
  • forces e-signatures and verification for all legal documents.

Not only does the system validate that all data entered is in a valid format, but it integrates with as many third party systems as possible to verify that the entered data is correct. Business numbers and tax numbers are automatically verified against government databases, address information is validated against address databases, bank and p-card information is verified through penny-transactions, etc. The system makes it hard for a supplier to make a mistake and harder for any errors to persist for more than a few days. It also alerts the supplier as soon as certifications or registrations are about to expire or information has to be re-verified (according to the customer’s schedule, where such customer may require re-verification of contact information every six months).

All address, contact, and similar data is automatically indexed and can be mapped to any other information requirement that makes sense. So, if headquarters also happens to be the payment and legal notice address, it only has to be entered once. Same for contact information.

For the most part, SIM isn’t complex, and neither are supplier portals, but few master the usability and simplicity required to onboard even the technology unsophisticated supplier quickly and easily with complete profiles, no errors in critical information, and fresh profile data. Lavante Connect is in this group.

Jeff Wiest led the accounts payable function for the U.S. Financial Shared Services Center of Tyco Electronics since its formation over 10 years ago. During that time he oversaw the post-acquisition integration of more than 20 payables functions into the service center. He was instrumental in the implementation of electronic technology solutions that have resulted in significant efficiency improvements and cost savings. Lavante Recognizes AP Thought Leaders at Fusion 2012

For those of you who were able to attend the IFO Fusion 2012 conference in Nashville, I hope you had a chance to stop by Lavante’s booth and have your “catch the wave” photo taken!  Also, and more I hope you were able to attend one of Lavante’s five panel discussions that were headlined by some of the finest thought leaders in accounts payable today. We were so pleased to collaborate with so many experts in the AP field to develop and present these five very different, content-rich  presentations.  In an effort to recognize these individuals and their contributions to the AP industry, Lavante presented each panelists with a Lavante AP Thought Leadership Award.

Lavante Recovery+ Leads the Way in On-demand, Automated Recovery Processes

Last month we announced the release of our latest version of Lavante Recovery+. Lavante and Basware Launch 2012 Future of AP Seminar Series in Houston, Texas

On Thursday, February 16, we were happy to co-host the first of a our Future of AP: Five Top Changes Coming to AP lunch & learn series in Houston, Texas.  We had a record turnout, with a great cross section of companies represented – across industries and size of organization.  As usual, the session offered time to network with colleagues in AP and Shared Services while enjoying a good lunch.

We presented this agenda in 2011 in seven cities, and this session in Houston saw the topic continuing to spark interesting discussions.  Several areas prompted a great deal of discussion and questions – first, around on the subject of vendor on-boarding and the collection and management of tax information, i.e. W-9s.  The concerns about expanding 1099 reporting due to the health care laws that were raised last year are clearly still in the minds of AP professionals.  The discussion really centered on how a vendor portal can help establish an easy, repeatable process to collect and manage information from every vendor – from current contact info to compliance data.   We were able to shed some light on this topic with a discussion about Lavante’s Supplier Information Management and Recovery solutions, where technology is used to automate this processes.

The question of technology and automation then to the eInvoicing, as  Dean Baxter, Account Manager, Basware,  presented some compelling research that clearly demonstrated the ROI involved in adopting technology and process best practices that move a company from a “Laggard” to “Best-In-Class”, which decreased the costs of processing a single invoice from $38.77/invoice to $3.09/invoice.

The Connections Between Accurate Supplier Data and High Recovery Credits Discussed in Sourcing Innovation Blog by Michael Lamoureux

automatically connect with suppliersEarlier this month, Michael Lamoureux, better known as “the Doctor”, posted two very informative blogs on Sourcing Innovation, focused on the process of statement side recovery benefits.  His initial entry, Recovery Audits – Are they Worth It, argues that indeed, with the right technology, the money recovered is significant.  He states:  “… using technology and analysis, some companies are able to recover an average of 600,000 to 1,000,000 in vendor credits for every 1,000,000,000 in a recovery audit… in some cases, the leaders are able to recover 5,000,000 for every 1,000,000,000, and that’s always worth it no matter how big you are.”  These savings expanded even more when the solution provider includes a “SIM-powered” technology, which helps cleanse data and literally clean up problem areas.

His next post, Lavante Recovery – A Risk-Free Way to Segue Into SIM  expands the conversation to discuss Lavante’s Recovery Audit solution, which has built-in SIM-type capabilities.  And, the article continues to cover how Lavante works to “identify omissions, errors, and inconsistencies in your supplier data.”  What I saw as the vision of the two posts is the clear connection Michael makes between clean supplier data (and the ability to keep it updated on a continuous basis) and the ability to drive the maximum recovery effort.

“The benefits of good supplier data and multi-channel reach-out cannot be underestimated where recovery audits are concerned…. With respect to the former, cleaner supplier data makes for more complete transaction data, which not only increases the chance of finding a duplicate, incorrect, or fraudulent transaction — but improves your follow-on spend analysis efforts (and results). As a result of its supplier data cleansing effort, Lavante is typically able to process at least 95% of spend through its recovery audit solution, which maximizes the chances that it will find the majority of your recovery opportunities.”

Our company’s founders, Joe Flynn and Tom Flynn, saw the connections between clean supplier data and maximum recoveries when they built out Lavante’s solution set.  Our SaaS-based solution set starts with an automated outreach to the breadth of our client’s suppliers, and then continues to update records through our supplier network database, now with over 2.3 million suppliers.  The continuous communication with suppliers results in very high compliance, which keeps our client’s vendor records current, driving the maximum amount of credits possible.

Michael is very astute in his observations and analysis.  I have been in supplier management business for 25+ years and very few are able to connect the dots between Supplier Audit Recovery and Spend Analysis.  In a future post I will dig further into Doctor’s comments on how Recovery leads to cleaner supplier data resulting in improved spend analysis, which in turn provides better sourcing and more effective supplier management.

Lavante Panel Prompts Lively Discussion Centered on Statement Audits & Supplier Portals at the IFO Toronto Conference

Earlier this month it was my pleasure to moderate a very lively and insightful panel at the Institute of Financial Operations’ conference in Toronto, Canada. Lavante hosted the panel discussion, bringing together leaders from the AP community representing The Four Seasons Hotels & Resorts, Lafarge North America, RIM, and Telus. Panelists focused on Transforming AP through Technology & Automation, with two topics spurring considerable attention and discussion:

Statement Audits: There was considerable interest in the presentation by one panelist who presented how automating the statement audit process using Lavante Recovery has delivered a steady stream of credit recoveries, beyond what was anticipated – in the first year over 1% of auditable spend was recovered. He covered how his company had moved from an inherited manual/paper based system to Lavante’s automated, web-based solution, which has provided seamless access to results through the online web portal. Lavante’s ability to automatically connect to and audit the breadth of suppliers vs. a smaller subset that a traditional recovery process would target, had an added benefit of improving communications and the overall relationship with vendors.

This focus on the importance of supplier relationships spilled over into the next hot topic the panel uncovered:

Supplier Management Portal: The need for an easy, transparent way to connect with suppliers and improve the supplier service function was another hot discussion topic. There were several presentations focused on this topic. One presenter focused on the process now underway to implement a vendor portal to the organization, leading with the findings that internal development of a supplier management portal would be cost prohibitive. Important issues in selecting a vendor were identified as: data integrity, eliminating duplicate vendors, and maintaining an accurate active vendor file. Ease of use, workflow approvals, and an increased turn-around time for approvals were also important elements cited. Questions about what incentives would drive vendors to join the network centered on the benefits vendors would enjoy and the possibilities of customizing the approaches for different types of providers.

I applaud the conference organizers (this was the first IFO conference in Toronto) in including this along with many other technology-oriented sessions at the event. Top 5 Changes to AP

In this post, I’d like to present the final two changes we see coming to AP, that will drive efficiencies and increase the value that AP brings to an organization.  In two previous posts, we covered the first three changes:

4.   Buyers & Suppliers Collaborate

The desire to bring buyers and suppliers closer to together is not a new concept, but it is one that is gaining more attention and momentum.  The potential benefits — from reducing transactional and administrative costs, to streamlining business processes — are just too great to ignore or put off for some unknown future date.  But, there are challenges that must be overcome, as each department has its unique set of requirements.  These can be overcome by focusing on better connections between buyers and suppliers, which then helps drive more timely access to better data.

The first step in the process is to improve the electronic connections between suppliers and buyers.  Moving away from paper-based, manual processes to electronic, automated processes serves to dramatically speed transaction times while reducing errors It also provides the opportunity to proactively use current data to drive better deals for your company.  Timely access to current data will help in setting better terms, more advantageous payment schedules, the ability to leverage product delivery issues (i.e. shipment is delayed, so payment should also be delayed), or to best determine payment timing strategies.  This all will help improve cash flow and streamline business processes for added cost savings.

Improving the working relationships between finance and procurement is another area of potential organizational benefits, and one we predict is already in play.  Considering the different perspectives and roles that Procurement, AP, Finance, and Suppliers play within the P2P cycle, the potential for departmental disconnects are great, making the benefits to gain in harmonizing the connections equally as significant.  Accounts Payable is in a unique position to be the key convergence point for Procurement, Finance and Suppliers.  Placed at the center of these three entities, AP has the opportunity to add great value to the overall organization.  For example, where procurement is focused on what is spent, AP has the data to know what is spent, and when it is delivered.  With AP at the center of these three entities, they are in a position to deliver critical, timely data to procurement enabling them to negotiate better terms, improve deliver and receipt of goods, etc.  In this scenario, AP takes on a much more strategic and indispensable role in achieving organizational goals.
